Al-Irshad Islamic Institute collects personal information only where it is needed to receive a donation, register a volunteer, or book a place at an event. This page describes exactly what we hold, why, and for how long.
What we collect, and why
When you report a donation
- Name, email address and telephone number — so we can confirm your donation and contact you if the transfer cannot be matched.
- Country and city — for our own reporting on where support comes from.
- Amount, currency, purpose and gift type — to record the donation correctly, and to keep Zakat accounted for separately.
- Payment method and transaction reference — to match your transfer against our bank or wallet statement.
- A receipt or screenshot, if you upload one — for the same purpose.
- Your IP address — recorded with the submission, used only to limit automated abuse of the form.
When you register as a volunteer or for an event
- Name, contact details, city, and the areas you would like to help with, or the number of places you need.
Payment receipts are stored privately
A payment screenshot usually shows your own bank or wallet account. Those files are not stored in the website’s public media library. They are kept in a directory that denies direct web access, given a randomised filename, and can be opened only by signed-in members of our finance team. They are never published, never attached to an email, and never shared with a third party.
We do not take card details
There is no payment gateway on this website. We never ask for, receive, or store card numbers, CVV codes or online banking passwords. If any page or message claiming to be from us asks you for those, it is not from us — please tell us immediately.
Who can see your information
Only authorised staff, and only the part they need:
- Finance staff — donations, donors and payment receipts.
- Programme staff — event registrations.
- Volunteer coordinators — volunteer signups.
We do not sell, rent or trade personal information. We do not share it with other charities or with advertisers.
Third parties
Our website is hosted by Hostinger. Pages may embed videos from YouTube; those load only after you click play, so YouTube sets no cookie on you unless you choose to watch. We use no advertising or profiling cookies.
We email you a confirmation when you report a donation, and again when it is verified. Notification emails to our own staff deliberately show only the last four characters of a transaction reference.
How long we keep it
Donation and donor records are financial records and are retained for as long as we are required to account for them. Volunteer and event records are kept while they remain useful and are removed on request.
Your choices
- Anonymous giving — tick the box on the donation form and your name will never appear anywhere public. Our finance team still needs your details in order to verify the transfer.
- Access, correction or deletion — write to us and we will act on it. We may need to keep the minimum record required to account for a verified donation.
- Unsubscribe — ask and we will stop emailing you.
